Terms of use
Last updated 30 October 2026
These terms apply to the Tender workspace at app.visionexsolutions.com.au (the workspace), run by Visionex Solutions Pty Ltd (ABN 55 672 030 661) (we, us). By creating an account or using the workspace you agree to them on behalf of yourself and the business you sign up for (your business).
1. What the workspace does
The workspace reads tender documents you upload, gives a summary and a go / no go check, lists what the buyer wants back, helps you fill the buyer’s forms, drafts written answers with artificial intelligence (AI), and prepares a proposal and downloads. It is a tool to help you prepare your own submission.
- You decide what to submit. Check every answer, figure, form and attachment before you lodge. AI drafts can be wrong or incomplete, and gaps are marked for you to fill.
- We do not lodge tenders for you, and we do not log in to tender portals.
- We do not promise any result. Winning a tender depends on the buyer and many things outside our control.
- The workspace does not give legal, financial, insurance or pricing advice.
2. Your account and your team
- You sign in with a one time link sent to your email. Keep access to that email secure.
- The person who creates the business is its owner. Owners and admins can invite, suspend and remove people and are responsible for who has access.
- You must be authorised to act for your business and to give us the information you upload.
3. Plans and payment
Checking a tender and the go / no go are free. Writing answers, filling forms, the final check, the proposal and downloads need a paid plan. Prices are in Australian dollars and exclude GST, which is added to every invoice.
- Starter: $249 a month, 1 tender build a month, up to 2 people.
- Professional: $549 a month, 3 tender builds a month, up to 5 people.
- Business: $949 a month, 6 tender builds a month, up to 10 people.
- A tender build is used the first time anyone in your business writes, fills forms or runs a check on a tender. Everything on that tender is then included.
- Unused builds from a month stay available for 30 days after that month ends, then expire.
- Extra tender build: $149. One more tender build, used whenever you need it (12 months).
- Expert review: $495. A Visionex Solutions bid writer reviews your tender before you lodge and sends marked up changes.
- Finish it for us: $1,990. Hand this tender to Visionex Solutions. We finish it with you. What you paid for an expert review on it comes off.
- Plans renew monthly and are charged to the card you save with our payment provider, Stripe, until you pause. We never see or store your full card number.
- If you change plans, the difference for the rest of the month is charged or credited straight away.
- We may change prices by giving you at least 30 days’ notice by email. The new price applies from your next renewal after that.
4. Pausing instead of cancelling
- A pause starts at the end of the month you have paid for. Until then everything works as normal.
- Keep my files: $39 a month while paused. Nothing is deleted.
- Pause free: nothing is charged. The tender files you uploaded are deleted 60 days after the pause starts unless you resume or switch to keeping them. We email you 30, 7 and 1 day before.
- Resuming after a pause has started charges the plan straight away and starts a new month.
- Your business library, answers, drafts and results are kept while paused.
5. When a payment is not received
If a payment fails, new writing stops until it is paid. If no payment is received for 90 days, including after a plan is cancelled, the tender files you uploaded are deleted. We email your owners and admins 60, 30, 14, 7 and 1 day before. Once a payment goes through, nothing is deleted.
6. Refunds
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Apart from those, payments for a month or for builds already used are not refundable. If something has gone wrong, contact us and we will look at it fairly.
7. Your content
- You keep ownership of everything you upload and everything the workspace writes for you.
- You give us permission to store, copy and process your content only to run the workspace for you, including sending it to our AI and hosting providers listed in our privacy policy.
- You must have the right to upload it. Tender documents may be confidential to the buyer, so only upload what the buyer allows you to use for preparing your response.
- Before adding people, CVs or referees to your library, make sure those people agree to their details being used in your tenders.
8. Deleting tenders and your account
- A tender moved to the Bin is deleted for good 30 days later, with its answers and files. You can also delete it for good from the Bin straight away.
- To close your account and delete your business’s data, email us. We may keep records we must keep by law, such as tax invoices.
9. Acceptable use
Do not use the workspace to break the law or a tender’s rules, to upload malicious files, to try to reach another business’s data, or to overload or copy the service. We may suspend an account that does.
10. Availability and changes
We work to keep the workspace available and your data secure, but we do not promise it will always be available or free of errors. Lodge early and keep your own copies of your submissions. We may improve or change features over time.
11. Liability
Nothing in these terms excludes rights you have under the Australian Consumer Law. To the extent the law allows, we are not liable for indirect or consequential loss, lost profits or lost contracts, and our total liability to you is limited to the amount you paid us in the 12 months before the claim. Where our liability for a failure to meet a consumer guarantee can be limited, it is limited to supplying the service again or paying the cost of having it supplied again.
12. Changes to these terms
We may update these terms. For important changes we will email owners and admins at least 30 days before they apply. Using the workspace after that means you accept them.
13. Law and contact
These terms are governed by the laws of Victoria, Australia. Questions or complaints: info@visionexsolutions.com.au or 0418 726 076.
