Privacy policy
Last updated 30 October 2026
Visionex Solutions Pty Ltd (ABN 55 672 030 661) runs the Tender workspace. This policy explains what personal information we collect through it, why, who we share it with and how you can access or correct it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
- Account details: your email address, your name if you add it, your role, and when you sign in.
- Business details: business name, ABN, website, logo and brand colour.
- Tender content: the tender documents you upload, the text we read from them, your answers, drafts, forms, notes and results.
- Library content: information about your business, people (including CVs, qualifications and contact details), past projects and referees, insurances, licences, policies, equipment and subcontractors that you choose to add.
- Billing details: your plan, what you bought and invoice records. Card details are collected and held by Stripe, not by us.
- Help requests: what you write to us, and a phone number if you give one.
- Activity records: a log of important actions (for example sign-ins, downloads, deletions and payments) kept for security and support.
If you add other people’s details to your library, such as staff or referees, please tell them and make sure they agree.
Why we use it
- To run the workspace: reading tenders, drafting answers, filling forms and making your proposal and downloads.
- To sign you in, keep your business’s data separate from every other business, and keep it secure.
- To bill you and send receipts, payment notices, deletion reminders and expiry reminders.
- To answer help requests, and to provide an expert review or finish a tender when you buy one.
We do not sell your information and we do not use your tender content for advertising.
Artificial intelligence and overseas providers
To read tenders and write drafts, the text of your documents, answers and library is sent to Anthropic, which provides the AI model. Anthropic processes it in the United States. Other providers that handle your information for us:
- Supabase: our database and file storage, hosted in Sydney, Australia.
- Netlify: hosts the workspace and runs its servers, which may process data in the United States and other countries.
- Stripe: payments and invoices. Stripe may process data in Australia, the United States and other countries.
- Microsoft: sends our emails from our Microsoft 365 mailbox.
By using the workspace you consent to your information being sent to these providers overseas for these purposes. We choose providers with strong security, but overseas providers are subject to the laws of their own countries, and we may not be able to make them comply with the Australian Privacy Principles.
Who sees your business’s data
- People in your business that your owners and admins invite.
- Visionex Solutions staff can see your business name, plan, owner email, help requests and orders to run the service. They open a tender only when you ask for help and agree to share it, or when you buy an expert review or ask us to finish a tender.
- Anyone else only when the law requires it.
Cookies
We use one cookie, which keeps you signed in for up to 12 hours. We do not use advertising or tracking cookies.
How long we keep it
- Tender files you uploaded are deleted 60 days after a free pause starts, or after 90 days without payment, with email reminders first.
- Tenders moved to the Bin are deleted for good 30 days later.
- Everything else is kept while your account is open. When you ask us to close it, we delete your business’s data, except records we must keep by law, such as tax invoices.
Security
Data is encrypted in transit and at rest. Each business’s data is separated at the database level, sign-in uses one time links instead of passwords, and staff access is limited and logged.
Access, correction and complaints
You can see and change most of your information in the workspace. To ask for a copy of your information, a correction or deletion, or to make a privacy complaint, email info@visionexsolutions.com.au. We will reply within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
We will update this policy when how we handle information changes, and tell owners and admins by email about important changes.
